General Booking Terms and Conditions 2024

Before you book please make sure you fully understand our terms and conditions as stated below.

Information presented in any estimates given to you are done to the best of our knowledge. Changes beyond our control may occur in respect of order of the itinerary, availability, pricing, standard of services provided, tour content and overall travel arrangements.

1. Definitions and Basis of contract:

The following booking conditions, together with the information set out on the relevant tour pages of the Reis Voyage website will form the contract between you and us for your holiday with us.

In this contract a reference to “you” and “your” include the lead-named person on the confirmation invoice (who must be at least 18 years old at the time of booking) and all persons on whose behalf a booking is made.

“We” & “Reis Voyage Pty Ltd” are a registered Australian business. ABN82642019083 and fully insured under CGU Insurance for Professional Indemnity & Public Liability.

“Start Date” means the date scheduled for you to depart at the start of the travel arrangements. “Products” means the individual components of travel arrangements such as internal flights to/ from, transfers/transport, accommodation as stated, meals, included activities and tours. “Tour” means a holiday organised by Reis Voyage.

“Suppliers” means the third parties that are responsible for providing the individual products “Travel Arrangements” means the travel arrangements made by Reis Voyage including all applicable products in conjunction with your Africa Safari. “Conditions” means these Terms and Conditions 2024.

“Customer” means a person, jointly or severally if more than one, acquiring services and Travel Arrangements to Africa or the Middle East from REIS VOYAGE PTY LTD.

The contract between us comes into existence when you make payment of a deposit, which indicates your acceptance of these conditions. You will have undertaken to pay for the holiday you have booked and we will have undertaken to provide you with the holiday we describe in your itinerary.

If you make a booking on behalf of others as well as yourself, we shall take it that you have the authority of each of those other people to enter into that contract and that you and they have agreed to be jointly and severally liable to us. You now accept personal liability for the acceptance and compliance of each of those people, with these contract terms.

**This contract becomes valid once you have accepted the booking.

For you to make a booking, we require a security deposit – a non-refundable deposit of AUD250 per person is required on confirmation and a completed booking form. Our confirmation will be sent to you by email. We may decline your booking for any reason or at any stage of the quoting process and we do not have to give you the reason. If that should occur we will return your monies:

  1. If a supplier deposit has been paid.

or

2. The booking in full, with the exception of the non-refundable Reis Voyage Pty Ltd deposit. To you immediately and in any event within 14 days if the supplier payment has not been made.

2. Booking your holiday arrangements:

2.1 Estimate – We will provide a quotation for your travel arrangements. This estimate is valid for a period of 7 days after such time pricing may be subject to change.

2.2 Minimum Deposit – A supplier deposit of 25% of your total booking cost + the Reis Voyage Pty Ltd non-refundable deposit is required to secure your booking.

Higher deposits are required by certain supplier companies to secure bookings and are listed below:

Nomad Tanzania deposit require’s a minimum of 30%

Rwanda Gorilla package deposit requires a minimum of 50%

Zimbabwe Packages deposit requires a minimum of 30%

2.3 Late Bookings – We require full payment no less than 70 Days before departure must be accompanied by full payment at the time of booking.

3. Pricing policy:

3.1 The prices given on our web site and in our itineraries are indicative only costs current at the time of pricing and are generally valid for the period 01 January 2024 – 31 December 2024. Different validity periods may apply to some lodges and will be advised on quotation.

3.2 All prices are shown in AUD pricing unless otherwise requested.

3.3 Travel arrangement prices are quotes for your entire package and we cannot provide itemised costs for components.

3.4 The price of your travel arrangements is subject to the possibility of surcharges if product costs rise or adverse currency exchange rates apply. Surcharges may also be incurred (without limitation) in connection with, fuel levies, airfares, accommodation and ground transportation charges, national park and other entry fees and any other increases in connection with your travel arrangements. You agree that we may increase prices at any time of the advertised cost of the tour to account for such changes by notifying you the customer, whether or not you have made pull payment.

3.5 Products and services included: The following components are generally included in all of our safaris unless otherwise stated and will advise accordingly. Transportation, accommodation with private facilities, applicable park fees, services of a driver and or guide, full board meals whilst on safari meaning breakfast, lunch and dinner. City hotels only breakfast is included all other meals are on own arrangements. Indicated as BLD (breakfast, lunch and dinner). Single supplements will apply unless otherwise advised. A minimum of 4NTS accommodation applies.

3.6 Products and services not included: The following are excluded from the price of the Travel Arrangements:

International and domestic airfares, arrival/departure taxes, fuel levies and surcharges, passport and visa costs, travel insurance, personal items such as extra meals, drinks room services, laundry and gratuities, items of personal nature such as medication, unless expressly included.

3.7 Age limits may apply at some of the properties that we include, children are not accepted at some lodges and under the age of 15 are unable to visit or to be included on selected activities. These can be applied to Gorilla trekking, canoeing and camping or walking safaris.

4. Final Payment:

4.1 Payment and failure to pay

The last date for payment of the balance of the cost of your holiday will be due to us at least 70 Days before the Tour/Travel Start Date. We will tell you that last date for payment after we have confirmed our acceptance of your booking.

If you do not make final payment before the due date, we reserve the right to treat your booking as cancelled. If we do that, you accept that cancellation fee’s will be applied.

4.2 All payments to us are made by electronic transfer for which full information will be provided at the time of booking.

You agree that all these provisions are reasonable.

5. Amendments:

5.1 We will endeavour to assist if requested by you to make amendments to the Travel Arrangement booked up to 70 days prior to your Tour Start Date, additional expenses incurred by us in doing so may also be payable by you at the discretion of Reis Voyage.

5.2 Amendments made within 70 days of prior to your tour start date are treated as cancellations and re-bookings. Cancellations charges apply as detailed below.

6. Cancellations by you:

6.1 If you cancel your booking or any travel arrangements either through failure to pay the balance due or for any other reason, you must notify us immediately in writing to Reis Voyage Pty Ltd and we may charge a cancellation fee calculated as follows:

From booking to 71 days before departure: loss of deposit, deposits are non refundable.

Between 69 and 61 days before departure 50% of the cost of the travel arrangements.

60 Days or less before departure (or failure to join the holiday) 100% of the holiday cost.

The above dates refer to the date that we receive notice of cancellation from you.

Please note: Selected tour operators may charge a higher cancellation fee if this is the case it will be advised when providing our estimate to you.

6.2 If circumstances force you to leave the tour early, you will have to bear any additional costs yourself.

7. Cancellations and changes by us:

7.1 Force Majeure – Where circumstances outside of the control of Reis Voyage affect the provision of travel arrangements (such as war or threat of war, civil unrest, riots, fire, a pandemic, acts of God, flood, terrorist activities, strikes, airport or port closure, cancellation or alternation of scheduled transport) we may at any time cancel travel arrangements and may at our sole and absolute discretion: offer alternative travel arrangements or products of a comparable standard, or if alternative travel arrangements or products are not offered, make a proportional refund for the cancelled services.

**Pandemic classified that if a person cannot travel services will be rebooked at another suitable date or services held in credit. Non-refundable deposits paid to lodges/camps or any supplier arranged on the ground will be subject to our normal terms and conditions. Unless otherwise stated. Adequate travel insurance is compulsory and must be advised on confirmation of booking.

7.2 Reis Voyage Pty Ltd may charge a reasonable amendment fee to cover the administrative costs associated with providing alternative Travel Arrangements or Products.

7.3 Please see our Covid 19 policy in regard to any supplier conditions.

8. Travel Insurance:

It is a compulsory condition of booking with Reis Voyage for any travel arrangements that you take out appropriate travel insurance. We cannot approve the cover you have bought and are not responsible if it is inadequate. It is advisable that your cover includes medical emergency evacuation. We strongly advise that you take out travel insurance on payment of the security deposit as our cancellation policy will be enforced.

To be absolutely safe, it is a good idea to make sure your passport is valid for at least six months after the date of return of your travel arrangements.

Remember to apply for any necessary travel visas in good time;

Check with your local GP or Travel Clinic what vaccinations and medication you may require and allow time to obtain these. It is the clients responsibility to ensure that all appropriate documentation is in place. That your Covid 19 vaccination certificate is valid for overseas travel via the Medicare app or similar.

9.2 Yellow Fever vaccination is required by East and Southern African countries, The Republic of Congo, Kenya, Zambia. Proof of the vaccination will be required on arrival. Travel into South Africa and Tanzania after travelling or transiting through Yellow Fever high risk areas, will require proof of vaccination. Please reconfirm with your Travel Clinic for any new requirements.

South Africa has recently removed their requirements for travelling with children under the age of 18. However travel requirements for either one or two parents for Botswana remains the same.

11.Limitations on our liability:

11.1 We want you to enjoy a perfect holiday with REIS VOYAGE PTY LTD. We shall do our best to make your holiday special for you. Nonetheless, we must make clear the limitations in law. We are not liable to you for:

-any event which happens before you begin your Travel Arrangements or after you leave our Travel Arrangements at departure;

-any problem arising from your failure to reach the start of the Tour or Travel Arrangements on time, for whatever reason; (though we would do our best to help you in any way we reasonably could)

-any aspect of goods or services you buy or accept other than those arranged by us;

-medical problems or physical difficulties, even if you have told us about them in advance; -medical emergencies;

-your own carelessness or negligence in any aspect of your behaviour whilst travelling with us; – laws, culture and standards of service and behaviour in any country we may visit;

-changes we reasonably make to an itinerary or to accommodation or any other aspect of the management of a Tour or Travel Arrangements;

-problems or issues which we could resolve whilst on a Tour or Travel Arrangements but which

you raise only after your return.

-Force Majeure as stated above.

We and you are subject to international conventions, when they apply. This may limit the amount of a claim you may make, against us or anyone else.

11.2 Reis Voyage acts as a booking agent for the Suppliers of Products whilst on your Travel Arrangements or Tour and accepts no liability for any injury, damage, accident, delay that may arise to You the customer or to any third party’s use of the Products, unless recoverable from Reis Voyage on the failure of a statutory guarantee under Australian Consumer Law.

11.3 Reis Voyage will endeavour to determine due diligence that suppliers provide appropriate products however Reis Voyage is not held responsible for the products or their standard. All documents supplied are in guidance with all terms and conditions of the services provided on the ground by the supplier.

11.4 You as the client are aware that areas of travel in some countries can be politically unstable, tours or travel arrangements may operate in remote inaccessible areas. All animals/ wildlife do roam and move freely throughout areas of selected accommodation, of the most part where safari travel is conducted. Should it be deemed by Reis Voyage or the supplier that for political, climatic or other reasons to vary any part of the itinerary or re-routing the direction of the tour or travel arrangements in which no objection or claim for compensation can be made by the client. Please note compulsory travel insurance is taken out to cover against such risks.

11.5 Where medical services in remote areas are limited or not properly provided, action will be taken as necessary for medical attention to be provided and all associated costs will need to be paid by the client.

The validity, construction and performance of this agreement shall be governed by the laws of the State of Victoria. Any dispute arising in connection with this agreement shall be subject to the exclusive jurisdiction of the Australian courts.
